President –Al Sullivan
Provide overall leadership, strategy and vision for the organization. Leads the annual goal setting work session and builds consensus on the societies goals/objectives. Lead the organization based on the stated vision, mission and desires of the membership.

Specific Duties:

  • Lead or designate facilitator of board meetings, planning events, etc.
  • Ensure all open board roles are filled & accountable for assigned duties.
  • Ensure organization operates within agreed guidelines.
  • Provide comments for monthly newsletter.
  • Sign organizational checks.



Vice President/President Elect -  Open

Provide additional senior level leadership and support for the organization. Provides oversight and assistance to special project teams or board positions. Prepares to assume the primary leadership role of the organization.

Specific Duties:

  • Acts as leader of the organization in the absence of the president.
  • Become familiar with all key aspects of the organization in preparation to assume the primary leadership role.
  • Oversees all special project teams to ensure work product meets organizational expectations.
  • Provide status updates on special projects in the absence of actual project leaders. May also lead or participate on special projects or committees.
  • Fill open board positions on an interim basis until a suitable replacement is appointed.



Immediate Past President – Julie King
Provides continuous advice and council based on previous experience in the president’s role. Acts as president when the elected president is not available.

Specific Duties:

  • Sign organizational checks.
  • Lead special projects as needed.
  • Fill open board position on an interim basis until a suitable replacement is appointed.



Treasurer – Steven Gregory

Provides leadership and oversight of all financial matters of the organization. Drafts annual budget for review and approval by the board of directors. Presents on-going expenses for board approval as needed.

Specific Duties:

  • Maintain & report organization account balance (monthly at minimum or more if required).
  • Record and track agreed and actual expenses in accordance with approved budget.
  • Work with Membership Chair to validate membership registration with collected dues.
  • Develop and maintain the organizations funding request documentation.
  • Identify and collaborate with the organizations tax representative.
  • Lead the annual budget discussion at the November board meeting (annual expenses will be discussed and agreed).
  • Ensure all collected funds are deposited within 24 hrs of being collection.



Web Master/Technology – Eric Dupont
Provides leadership and oversight of the organizations website and technology related endeavors. Leads efforts to achieve TJS goals through technology.

Specific Duties:

  • Proposes web updates/changes to enhance membership value and ease of use.
  • Selects technology to deliver membership and organizational value.
  • Ensures all periodic web changes/updates are organized, maintained and implemented as agreed.
  • Evaluate and select web hosting company and domain name registration (ensure subscriptions doesn’t expire).
  • Serves as TJS liaison with all technology entities (i.e. web hosting company, developers, etc).
  • Prepare and seek approval for annual and on-going technology related expenses.



Entertainment/Events – Yovonne Sullivan & John Bouille
Plan, coordinate and provide leadership and oversight of TJS public events. Develop & maintain relations with jazz performers and businesses.

Specific Duties:

  • A. Ensure jazz calendar is updated weekly and functional at all times.
  • Plan and coordinate all TJS public meetings/gatherings (i.e. monthly jazz gathering, annual jazz social, etc.)
  • Ensure all TJS events are publicized (newspaper, radio, internet, email, etc.)
  • Develop & maintain relations with jazz performers, bands, and related businesses to achieve TJS entertainment and events objectives.
  • Prepare and seek approval for annual entertainment/events budget (during the month of Nov).
  • Update the Jazz Poll section of the web on a monthly basis (by the 3rd Sunday of each month).



Fundraising – Open

Lead and coordinate all organizational fundraising efforts. This role also works closely with the Finance role to ensure funds needed or raised are coordinated and appropriately accounted for.

Specific Duties:

  • Lead efforts to research and develop funding sources.
  • Lead annual and on-going fundraising ideas and events.
  • Develop and cultivate long-term sponsorship relations with community, corporate and national funding sources.
  • Update and maintain the Partners/Sponsors TJS web page (as needed & in accordance w/sponsorship levels).



Administration – Barbara Gregory

Maintain all administrative records and/or requirements for the organization. This role also ensures the board administrative section on the website is updated and maintained with key board related information.

Specific Duties:

  • Distribute all meeting reminders and agendas (at least 1 week prior to meeting).
  • Ensures meeting minutes are documented and distributed within 24 hrs following meetings.
  • Ensures all public documentation is reviewed/edited prior to final publication.
  • Distributes periodic web update reminders (jazz poll, articles, calendar, member spotlights, etc).
  • Maintain key organizational documents (i.e. 501(c)3, articles of incorporation, insurance, taxes, etc.)
  • Ensure all TJS documentation is available for use and distribution (i.e. brochures, cards, etc.).
  • Prepare and seek approval for annual administrative organizational expenses during Nov budget meeting.



Membership – Sharon Payne

Lead efforts to grow and delight TJS members. This includes coordinating membership drives, correspondence and follow up activity to new or potential members.

Specific Duties:

  • Conduct annual membership survey & ensure agreed key actions are implemented.
  • Develop and ensure distribution of membership correspondence (i.e. new & renewal member letters, cards, etc).
  • Lead efforts to communicate & improve member benefits on an on-going basis.
  • Ensure membership database is accurate, maintained & secure at all times (new members added by 3rd Sunday).
  • Lead annual membership drive.
  • Lead annual TJS member appreciation event.
  • Prepare and seek approval for annual membership related expenses at annual budget meeting (Nov).
  • Maintain and improve the TJS Membership web page.



Jazz Education - Baron Tymas

Works with local and regional entities to collaborate and develop community based jazz educational opportunities. An additional focus of this role is to expand the organizations perspective on the meaning, appreciation and evolution of jazz.

Specific Duties:

  • Establish guidelines to solicit and distribute jazz scholarships. Develop a repetitive jazz youth education program.
  • Work with community partners to proliferate jazz education throughout the Triangle and surrounding vicinity.
  • Maintain and improve the following TJS web pages; Future of Jazz (as needed) and Explore New Jazz (by 3rd Sunday).
  • Prepare and seek approval for Jazz Education annual expenses during the Nov budget meeting.

 

Communication - Open
 
This role ensures all communication for the society is relevant, updated and accurate. Collaboration and coordination with all other board roles must occur to ensure TJS communications are synchronized before publication to the public. The incumbent will lead current and new communication initiatives and develop communication systems to ensure the vision and goals of TJS are appropriately supported through proper communication channels.
 
Specific Duties:
  • Ensure all website pages are maintained with accurate, relevant and new information each month.
  • Develop, coordinate and disseminate TJS monthly newsletter.
  • Lead TJS on-going communication projects.
  • Communicate with other TJS board members to coordinate and synchronize on-going communication.
